Increased Duties (In-grade Salary Increases)

Definition
When an employee has assumed significant additional responsibilities not resulting from an increase in volume, but which is not enough to warrant reclassification.

Salary increases, in recognition of increased duties, are intended to provide additional compensation to employees whose duties and responsibilities have increased significantly, yet not enough to warrant reclassification to a higher grade level or a different title.

If the increased responsibilities are permanent, then a permanent salary increase may be granted.

If the increased responsibilities are for a defined period of time, then a temporary salary increase may be granted.

If the increased duties result in an increase in work volume, but not in an increase in the complexity of fulfilling the responsibilities of the position, then no salary increase will be granted.

To avoid creating salary inequities for others, consider:

  • The salaries of others in similar positions.
  • The complexity of the additional duties.
How do I obtain an in-grade salary increase for my employee?
Submit the following items to Classification and Compensation:
  • A revised job description documenting the additional and essential functions. Indicate whether the duties are temporary or permanent.
  • An organization chart showing all positions in the department. Include names, titles and line numbers (salary grades and other supporting data can be helpful in expediting the review process).
  • A cover memo explaining the rationale for the increase.
Classification and Compensation will review the job description to determine whether the increased duties support an in-grade salary increase or reclassification to another title and grade.
Classification and Compensation will discuss findings with the Vice Presidential Coordinator and will either notify the department to initiate a salary increase or take the appropriate steps to reclassify the position.
Note: Salary increases for temporary increased duties generally should not exceed 6 months.
After the Decision
To initiate a salary increase, prepare and submit the appropriate change form, approved position description, and approval documentation from Classification & Compensation.
Note: If the increased duties warrant reclassification instead of a in-grade salary increase, follow the steps for reclassification.
