SECRETARIAL

Junior Word Processor (State reference, Keyboard Specialist 1)

The Junior Word Processor must have basic keyboarding skills at a minimum level of 35 wpm and 96% accuracy rate. The Junior Word Processor must possess a basic knowledge of Microsoft Word and should have a basic understanding of Excel, if possible. The incumbent may be expected to act as a receptionist and/or secretary, utilizing good customer service skills, and must be able to take complete telephone messages, file accurately (both alphabetically and numerically), photocopy, and fax. Excellent telephone skills are required. This is an entry-level position. All information obtained by the Junior Word Processor in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Intermediate Word Processor (State reference, Keyboard Specialist 2)

The Intermediate Word Processor must have keyboarding skills at a reasonably more advanced level, maintaining a 96% accuracy rate. The Intermediate Word Processor must have more advanced Microsoft Word knowledge and be able to perform data manipulation, utilizing basic (or higher) Excel skill levels. The incumbent may act as secretary to the director of a large department and should be able to utilize higher-level skills in varying areas such as customer service, decision-making, problem solving, etc. Excellent telephone skills are required. All information obtained by the Intermediate Word Processor in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Advanced Word Processor (State reference, Secretary 1)

The Advanced Word Processor must possess those skills and qualities of secretary/word processor at an advanced level. The incumbent must possess excellent typing/proofreading skills, and must have advanced working knowledge of Microsoft Word and Excel, as well as some understanding of various other computer software to include but not be limited to: PowerPoint, Access and/or Lotus Notes. The incumbent would normally act as the secretary to a very large department or possibly a smaller department where an extremely professional demeanor is required due to the complexities of the department. The incumbent should be willing and able to work for multiple supervisors. Excellent telephone skills, customer service skills and the ability to multi-task are required. All information obtained by the Advanced Word Processor in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Medical Secretary (State reference, Secretary 1)

The Medical Secretary will possess all the qualifications required of an Advanced Word Processor. In addition, the Medical Secretary will be able to read, write, and type medical terms with accuracy placed on correct spelling and proper usage of terms. All information obtained by the Medical Secretary in the course of the assignment is to be kept strictly confidential.

Administrative Secretary 1 (State reference, Secretary 1)

The Administrative Secretary 1 will possess those skills and qualities appropriate for the level of administrative tasks to be performed. The Administrative Secretary 1 will be expected to perform high-level administrative support to a department head and/or administrator. The Administrative Secretary 1 must have high level skills in word-processing and spreadsheets, using various software programs. Excellent telephone skills, customer service skills, and ability to multi-task and work for multiple supervisors is a must. The incumbent may be asked to gather information from multiple sources, and synthesize the information into various formats. All information obtained by the Administrative Secretary 1 in the course of the assignment is to be kept strictly confidential.

Administrative Secretary 2 (State reference, Secretary 2)

The Administrative Secretary 2 not only will possess those skills and qualities appropriate for the level of administrative tasks to be performed, but will be able to independently assume the role of senior level secretary. It is expected that the Administrative Secretary 2 will have the highest level of skills in Microsoft Office, and will be able to be trained on internal software with minimal disruption to the continued functioning of the department to which the Administrative Secretary 2 is assigned. Excellent telephone skills, customer service skills and the ability to multi-task are required. It is expected that the incumbent in this position will report to executive-level supervisors. Clerical

Clerk (State reference, Clerk 1, Calculations Clerk 1)

The Clerk will perform various tasks which will include, but not be limited to the following: filing (alphabetical and numerical), photocopying, faxing, merging and separating files, and inputting data on an ongoing but limited basis. In addition, the Clerk may be required to act as front-line department receptionist and his/her duties will include but not be limited to: answering telephones, taking messages, and directing individuals. The Clerk will be expected to have excellent telephone skills, good customer service skills and be able to work for multiple supervisors. All information obtained by the Clerk in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Senior Clerk (State reference, Clerk 2, Calculations Clerk 2)

The Senior Clerk will perform multiple tasks including but not limited to the following: preparing files, researching patient information via electronic or paper means, assist patients with forms completion, and process forms according to established guidelines. Excellent keyboarding skills are required for data input. This title may be utilized in a number of patient and non-patient related areas which might include the following types of department: Admitting, Medical Records, Radiology, etc. Excellent verbal and telephone skills are required as well as attention to detail. All information obtained by the Senior Clerk in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Data Entry Clerk 1 (State reference, Data Entry Machine Operator)

The Data Entry Clerk 1 is an entry-level position. However, 6 months' experience is preferred. The Data Entry Clerk 1 must be able to input data (alpha, numeric or both) with a 96% accuracy rate. Speed is of lesser importance than accuracy. The Data Entry Clerk 1 may be required to enter patient information from various sources into multiple computer systems. The incumbent may also be required to assist patients in the completion of billing forms, admissions forms, etc. Excellent telephone and customer service skills are required. All information obtained by the Data Entry Clerk 1 in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Data Entry Clerk 2 (State reference, Senior Data Entry Machine Operator)

The Data Entry Clerk 2 will be required to perform those items required of a Data Entry Clerk 1, but will input more complex data. Accuracy is critical in the accomplishment of the tasks. The incumbent must possess excellent telephone and customer service skills. All information obtained by the Data Entry Clerk 2 in the course of the assignment is to be kept strictly confidential. It is expected that the majority of these positions will be Monday-Friday, 8 a.m. to 4:30 p.m., or 8:30 a.m. to 5 p.m. However, some positions might require working a different shift, different hours, and/or have pass days (days off) that are not Saturday and Sunday.

Hospital Billing Clerk 1 (State reference, Clerk 1, Calculations Clerk 1

The Hospital Billing Clerk is to have basic knowledge in the area of medical inpatient and/or outpatient third-party billing utilizing form UB-92. Keyboarding skills should be at a 96% accuracy rate, utilizing either a typewriter or computer to properly process patient insurance claims. The Hospital Billing Clerk 1 should be able, upon minimal training, to ascertain the acceptable type of claim, electronic or paper, and follow through with the correct processing procedures. Excellent telephone and customer service skills are required. This is an entry-level position but prior third-party billing experience of 3 months is required. All information obtained by the Hospital Billing Clerk 1 in the course of the assignment is to be kept strictly confidential.

Hospital Billing Clerk 2 (State reference, Clerk 2, Calculations Clerk 2)

The Hospital Billing Clerk 2 will have a minimum of 1 year's experience as a hospital biller in either an inpatient or outpatient setting, utilizing form UB-92. The incumbent should be able to ascertain which insurance companies require electronic billing vs. paper billing, select the appropriate method as required, prepare complex bills, and follow through as needed. Excellent telephone and customer service skills are required. All information obtained by the Hospital Billing Clerk 2 in the course of the assignment is to be kept strictly confidential.

Medical Transcriber (State reference, Keyboard Specialist 2)

The Medical Transcriber will transcribe patient data, patient results, etc. from written, verbal or mechanical transcription equipment. The Medical Transcriber will produce results no less than at a 96% accuracy rate and will insure the accuracy of the spelling of medical terms. The Medical Transcriber will prepare the information for physician/nurse review and will make all necessary corrections, as soon as identified by the physician/nurse. All information obtained by the Medical Transcriber in the course of the assignment is to be kept strictly confidential.

 

Other Categories

Switchboard Operator (State reference, Clerk 1, Calculations Clerk 1)

The Switchboard Operator will assist callers to the University Hospital Switchboard area using Siemens/Rolm and Intellidesk interface. Training on the system will be provided. The incumbent will be required to process incoming telephone calls to the hospital quickly and efficiently, announce overhead pages, and announce emergency "code" pages as required/instructed. The incumbent must be articulate and work well under pressure. These positions may require working shifts that would be different from a normal workday of 8 a.m. - 4:30 p.m., or 8:30 a.m. - 5:00 p.m. and may require working weekends and holidays.

Laborer (State reference, Laborer)

The position of Laborer is varied in nature. The duties may include but not be limited to the following: accepting delivery of materials and/or equipment at the loading dock, verifying quantities, moving stock, making deliveries to patient floors, etc. Also, the Laborer may be assigned to the Linen department, moving linen to and from patient floors and/or receiving and distributing lab coats to appropriate staff. In addition, the incumbent could be required to operate mechanical equipment such as large photocopying machines and/or electronic paper reproduction machines. Most often, the employee will be working independently; therefore it is necessary for the laborer to be a self-motivator. Very good verbal and written communication skills are essential, as well as the ability to lift approximately 20 lbs. Incumbents working in the photocopy area must be able to lift approximately 60 lbs. All positions may require working shifts and/or weekends.
