Information for SUTRA (off-campus cohort) Instructors

 

Key Terms

  • Cohort: Employees or teacher center members who are taking courses together as a group as part of a contracted program between Stony Brook University and a coordinating or sponsoring organization.
  • GPD: Graduate Program Director.
  • Sponsor: Refers to the teacher center or organization that is contracting with Stony Brook University's School of Professional Development (SPD).
  • Sponsor Administrator: The representative who manages the payment of their employees or members.
  • SPD: The School of Professional Development, which offers and administers SUTRA programs for Stony Brook University.
  • SUTRA: Describes the contract between SBU and the participating sponsor; is often used as an adjective to distinguish cohort classes or students.

Enrollment and Attendance Reporting

  • Instructors must use only the SOLAR roster to confirm attendance to confirm attendance,notthe sponsor's roster.
  • Until and unless students are formally enrolled and listed on the SOLAR roster they CANNOT attend classes. Students who appear in the class but are not enrolled should contact their sponsor's administrator regarding their options to enroll.

RegistraR's Attendance REPORTING Timeline

Step 1
Start of Term

Day 1-9 of the Class: Instructor takes attendance at all class meetings and compares attendance to SOLAR roster, reporting the Registrar's Beginning of Term Verification on SOLAR.

Step 2

Instructor contacts missing students (using SBU email) to confirm whether or not they will be attending.

Students who either want to attend but who are not listed on the SOLAR roster,or  who will not be attending should be directed to speak with their sponsor's administrator.

Step 3

No later than Day 10: Instructor emails spd_partners@stonybrook.edu, to advise of any discrepancies from the SOLAR roster.

Step 4 End of Term

Once Grades have been submitted and posted: Instructor will receive an email requesting that they complete theRegistrar's Last Date Of Attendance Tracking in SOLAR.

Communication

As per the University’s Email Policy:

All communication regarding a student and their student record can only occur via the student’s@stonybrook.edu email address. Checking frequently will ensure that you are informed of important and time-sensitive notifications from SPD and the University. Learn how to set up and access your SBU email account.

Any communication regarding an applicant or student’s status can only be discussed between the student and the appropriate University representative. Students should be directed to contact their Graduate Program Director with questions regarding their program or the School of Professional Development Records and Admissions regarding policies or procedures.
