Selecting Your Arrival Time

On May 20, 2026, the Fall 2026 Move-In Appointments process will be available in the Housing Portal. Students will be required to go through the process to select a move-in date and time. Please note: students will only be shown dates they are eligible for based on their student demographic. Students will be able to reschedule and cancel their time slot, but you must have a final time selected by the deadline. The deadline to select a time slot is July 20, 2026, at noon for graduate residents and August 5, 2026, at 12:00 PM for undergraduate residents.

Resident Assistants, students currently in summer housing staying until the end of summer, Southampton residents, and those expecting to arrive early by a sponsoring office to assist with Weeks of Welcome, Campus Operations, or Athletics do not need to participate in the portal selection process.

Finding Your Check-In Location

Fall Arrival FAQs

If you are living on campus over the summer and staying until the end of the summer term, you will be able to move into your Fall 2026 housing assignment on Sunday, August 9, between 10:00 AM and 1:00 PM. All summer housing move-overs must be completed by Monday, August 10, at 4:00 PM.

For students being sponsored by another office/department:

  • Requests for an early arrival of students being sponsored by a department will come through the department sponsor. We will communicate with you in late July about your early arrival.

  • Students approved as part of this will be given a specific arrival date and time window, as requested by their sponsoring department.

  • If you select a room in West Apartments and are part of a program or organization that requires you to move in earlier than August 17, 2026, we recommend selecting a space in West E, F, G, H, or I. In other buildings, availability will be dependent on when someone with a summer assignment vacates, so your room will most likely not be available for early move-in.

For students NOT being sponsored by another office/department:
  • If you are a new first-year or transfer student who needs to arrive on Sunday, August 16, because of traveling from out of the area or internationally, you will have the option of selecting an August 16 arrival date (based on your address on record) in the Fall 2026 Move-In Appointments process in the Housing Portal.

  • If you are a new first-year or transfer student who needs to arrive on Sunday, August 16, because of a personal issue, please contact your community's area office. We cannot accept requests from new undergraduates earlier than August 16.

  • New transfers who need to arrive on August 17 or 18, and returning undergraduates who need to arrive on August 17, 18, 20, or 21, may request an early arrival by exception and will be billed for the additional days. Students seeking this option can complete the “Fall Self-Pay Early Arrival Request Form,” which can be found on the Assignment Confirmation page of the Housing Portal. Students will be billed $70 per night for their early arrival through their community's area office. The dates you see on the form are the only eligible dates students can select.

  • If you must arrive earlier than your scheduled arrival date, consider a hotel near the airport or on campus until your arrival date.

  • If you are arriving after Sunday, August 23, you may request a late check-in through the “Late Arrival Request Form.” This form can be found on the Assignment Confirmation page of the Housing Portal.

  • If you are a new student arriving after your new student arrival dates but on or before August 23, contact your community's area office to request your late arrival.

  • Failure to obtain approval for a late check-in will result in the forfeiture of your housing assignment. Late check-in requests cannot be held longer than the end of Late Registration.

If you have any questions, please contact us at reside@stonybrook.edu and include your SBU ID# in all correspondence so we can best assist you by looking into your specific account.
