Class Roster & Classroom Management
Workshop Participants
OLLI workshops are open to all paid, registered OLLI members without qualification of race, creed, gender, sexual orientation, age, or prior educational experience. Member participation in certain workshops may be restricted in order to accommodate unusual circumstances, such as limitations of facilities, physical risk factors, or special instructional needs.
- All virtual workshops have no limits on the number of members that can participate.
- All in-person workshops are limited based on classroom capacity and workshop leader preference.
Rosters & Attendance
The OLLI office will provide workshop leaders with the roster for their workshop via email. The roster will include the names and email addresses of all registered workshop participants.
In accordance with current University health and safety guidelines, attendance must be taken at all in-person workshops. Attendance information also provides information to OLLI in regard to data collection, planning and for reporting purposes.
Workshop leaders will receive attendance sheets from the OLLI office.
- Members must sign the attendance sheet each week.
- Workshop leaders must return the attendance sheet to the OLLI office by the end of each week.
- Registered participants are responsible to get in contact with the workshop leader if they are unable to attend a workshop.
- Open seats can be made available to waitlisted participants if workshop leaders choose to offer this option.
- If members fail to notify the workshop leader of two or more consecutive absences, it may result in being dropped from the roster.
- Please encourage participants to contact you when they will not be in attendance.
- If a member wants to drop a class, refer them to the OLLI office to do so.
Waislists
- If your workshop has a waitlist, it is the choice of the workshop leader to contact any waitlisted participants should a seat become available.
- For suggestions on the best way to handle a waitlist, please contact the Curriculum Committee Chairs or the OLLI Office
Room Occupancy Limits
Workshop leaders must adhere carefully to the workshop roster for all in-person workshops.
- Occupancy limits are posted in every workshop space and are not to be exceeded as it presents fire and safety issues.
- Please do not allow participants to bring in extra chairs from another room or to
sit on window sills or radiators.
- In case such crowding occurs, respectfully ask unregistered members to leave immediately or call the main office and a staff person will assist with the situation
Cancelling Workshops
- When a workshop leader must cancel a session, it is the workshop leader’s responsibility to notify the office by sending an email to olli@stonybrook.edu as soon as possible. Please notify the OLLI office at least seven days in advance, when possible, as OLLI is charged a fee for cancellations made with less than seven days' notice.
- We also encourage workshop leaders to email their registrants when possible to notify them of the cancellation. The office does not notify workshop participants by email.
- All workshop cancellations will be posted on a cancellation document, which will be available on the homepage of the OLLI website.
- We strongly encourage all OLLI members to visit the OLLI website and check for workshop cancellations every day they are scheduled to come to campus.
