Case Study: Delivering Real-Time Event Coverage During Inauguration Week

A stage panel discussion takes place during the inauguration of Andrea Goldsmith as the seventh president of Stony Brook University.

Overview

Stony Brook University’s Marketing and Communications (MARCOM) team executed a comprehensive real-time social media coverage strategy during Inauguration Week. Designed to capture and amplify key moments from these historic events, this initiative sought to maximize top-of-funnel reach and deepen mid-funnel brand engagement across social media platforms.

Challenges & Opportunity

  • The "Access vs. Speed" Balance: Delivering real-time quote identification and content adaptation without advanced access to speaker remarks.
  • Operational Friction: Navigating unpredictable event logistics, including on-site connectivity limitations and coordination with live event photographers.
  • Quality & Accuracy Management: Balancing the need for rapid publishing with strict mandates for accuracy, high-quality standards and accessibility requirements (such as writing descriptive alt text) in a live setting.

Strategy

The campaign utilized a highly coordinated real-time workflow that optimized role specialization and platform selection to build early audience momentum. By deploying targeted tactics based on channel strengths, the team leaned into Instagram Stories and X (formerly Twitter) for rapid-fire live coverage, reserving main feed placements for high-impact recap content.

  • Mobile Role: Operating on-site, this role stayed dynamically synced with the photographer's camera for quick image access, selected the best visuals out of hundreds of photos, captured original media and coordinated assets directly with the stationery role.
  • Stationary Role: Based at a production desk, this role color-edited photos, utilized live streams and transcription services to accurately verify speaker quotes, built branded graphic templates in real time, wrote alt text and managed final deployment across networks.

Measures of Success

MARCOM successfully delivered real-time coverage across all major events of the week, establishing a repeatable, highly efficient workflow model for future large-scale institutional milestones. This modern brand awareness tactic provided the real-time social proof necessary to engage alumni, students and the broader Stony Brook and higher education communities.

Engagement:

  • High-Output Deliverables: Successfully produced and deployed 89 Instagram Stories and 80 real-time posts on X over the course of the live events.
  • Maximized Live Impressions: Generated over 430K impressions on Instagram Stories and 17.5K impressions on X during the live event window alone.
  • Resource Efficiency: Achieved comprehensive, multi-platform coverage across all Inauguration Week events utilizing a streamlined and agile two-person team.

Workflow & Quality Optimization:

  • Workflow Acceleration: Drastically improved operational efficiency by shifting to specialized mobile/stationary roles.
  • Proactive Preparation: Reduced real-time bottlenecks by building pre-approved graphic templates and drafting baseline post copy ahead of time whenever possible.
  • Extended Narrative Impact: Effectively prolonged the lifecycle of the event beyond live moments by funneling high-performing assets into curated, in-feed recap content.
