Employment Clearance in SOLAR

When you hire an international student or employee at Stony Brook University, you may receive the following SOLAR error message:

“Not Authorized to Work – Email VIS”

If you receive this message, contact Visa and Immigration Services (VIS) to request an employment clearance review. VIS maintains employment authorization information in SOLAR for international students and employees, including individuals whose immigration status is not directly supported by our office.

How to Request Employment Clearance

Email vis@stonybrook.edu with the following information:

  • Employee information: The individual’s full name and SBU ID number.

  • Work authorization documentation: A copy of the documentation showing the individual’s authorization to work in the United States.

Acceptable documentation may include a valid Employment Authorization Document (EAD), an I-797 approval notice, a Permanent Resident Card (Green Card), or other applicable work authorization documents. These may be the same documents the individual presents when completing Form I-9.

VIS will review the information and update the individual’s employment authorization record in SOLAR when appropriate.

Processing Time

Allow 24–48 hours for updates to become visible to your hiring department in SOLAR. Plan accordingly to avoid delays in the hiring process.

If the error remains after 48 hours, contact VIS for further assistance.
