International Travel Loaner Laptop Program

Overview 

The University offers an International Travel Loaner Laptop Program to help reduce cybersecurity risks associated with international travel to High-Risk Countries, as defined by the University's Policy on Data and Devices for International Travel.

Using a loaner laptop helps protect University information by limiting the amount of institutional and research data taken abroad while providing travelers with the applications needed to conduct University business.

Researchers traveling internationally should also follow applicable University guidance regarding the protection of research information, electronic devices, and other research assets during international travel.


Eligibility

The program is available to:

  • Be a current Stony Brook University employee (faculty or staff in regular employment status).
  • Travel internationally to a High-Risk Country.
  • Travel for University-sponsored activities.

The program is not available for personal travel.


Program Information

Item Information
Cost There is no charge to borrow a laptop. Borrowers are responsible for loss or damage.
Device Dell Latitude 14-inch laptop
Loan Period Up to two weeks. Longer loans may be approved based on business need and availability.
Reservation Reserve at least ten (10) business days before departure whenever possible.
Software Standard University software is pre-installed. Additional software required for research or University business may be installed before travel, including VPN software and project-specific applications.

Before You Travel

Travelers should:

  • Reserve a laptop as early as possible.
  • Pick up the laptop several days before departure.
  • Verify that required software is installed.
  • Transfer only the files necessary for the trip.
  • Become familiar with the device before departure.

Returning the Laptop

For security reasons, all loaner laptops are:

  • Wiped
  • Reformatted
  • Reimaged

immediately after they are returned.

Travelers are responsible for transferring any files they wish to retain before returning the device. Information remaining on the laptop will be permanently deleted and cannot be recovered.


Request a Loaner Laptop

To request a loaner laptop, contact the Office of Research Security at least ten business days before departure whenever possible.
