Welcome to the HSC Student Life Space Booking hub! Whether you're planning a club meeting, workshop, wellness pop-up, or social event, reserving the right space is key to a successful experience. This page will guide you through the reservation process for both East Campus (HSC) and West Campus, using tools like 25Live, and provide access to helpful policies and contacts. We're here to help you bring your event to life—across every corner of Stony Brook.

Booking on West Campus: Intro to 25Live

West Campus Reservations with 25Live

25Live is the university’s central event scheduling system, used to book spaces across West Campus and some HSC locations. Registered student organizations and department-sponsored events can request classrooms, outdoor spaces, and more. You'll need to log in with your NetID and follow your organization’s approval process to get started.

Booking on East Campus (HSC)

East Campus (HSC) Room & Event Space Reservations

The Health Sciences Center offers a range of student-friendly spaces. Currently available spaces for student use include:

  • HSC Classrooms (via Registrar-controlled access)

Please wait until the Fall semester begins on August 25 before submitting space requests for Registrar-controlled classrooms in the Health Sciences Center. Academic and medical departments are still finalizing their course schedules and room assignments, so submitting requests before then may result in delays or changes.

Once the 25 Live request is approved (if applicable), create the event in SBEngaged within 48 hours or the space request may be cancelled.

Safety & Policy

As you plan, please remember that all student organizations must follow University policies and procedures related to event planning and student engagement. This includes:

  • Adhering to all student organization policies outlined during annual registration.
  • Completing required approvals for off-campus travel and - ensuring all participants comply with University travel safety guidelines.
  • Submitting a Guest Speaker Request Form for any events involving external speakers or off-campus visitors.
  • Following University protocols when working with minors (under the age of 18) to ensure compliance with all safeguarding and risk management requirements.

All HSC student organizations are encouraged to stay connected with their program advisors.
