Summer Housing Assistant for Conference Housing

Job Role

The primary responsibility of Summer Housing Assistants (SHA) is to support the Campus Residences’ staff and conference/summer guests to ensure that all guests’ housing needs are met. Summer Housing Assistants will have the opportunity to work with various populations, including youth and adult groups. The SHA’s main duties are to prepare and organize various housing elements for conference groups and to provide quality customer service.

Summer Housing Assistant responsibilities include the following:

  • Participate in overnight duty rotation from 7:00 PM to 8:30 AM and 24-hour duty on weekends and holidays
  • Support Campus Residence staff with check-ins and check-outs from residential communities
  • Complete building/room inspections and preparations
  • Provide excellent customer service to conference guests and residents
  • Serve as the primary point of contact for guests/participants in emergency situations
  • Assigned administrative tasks as assigned

Some SHAs will have the opportunity to work for additional hourly pay throughout the summer to perform specific tasks, including, but not limited to:

  • Inventorying linens, laundering, sorting linens, setting up spaces, turning over spaces once guests have departed, and packaging linens at the end of the summer.
  • Work scheduled shifts in a Community Area Office between the hours of 8:00 AM and 7:00 PM Monday-Friday.

Summer Housing Assistants seeking additional pay must be eligible for student payroll and will be approved only for minimal other commitments outside their SHA role.


Eligibility

  • Applicants must be current Stony Brook University students and enrolled in Summer 2026 and/or Fall 2026 classes. 
  • Applicants must have a semester and cumulative GPA of 2.50 or higher at the time of application.
  • Applicants must be in good conduct standing. 
  • Applicants must be able to work for the entire summer. The summer timeline runs from May 23 to August 20.
  • Applicants must be available for an individual interview, typically scheduled in March/April.
  • Applicants must attend one of the information sessions listed below in full to apply for the SHA position.
  • Summer Housing Assistants (SHAs) must be available to work from July 17 to July 27.

Frequently Asked Questions

Summer Housing Assistant recruitment will begin at the end of the fall semester, with information sessions occurring in early February. These information sessions are required in order to apply for the role. Offers for the position are typically made in March.

Summer Housing Assistants will receive a week-long training prior to the start of the conference season to ensure proper instruction and resources are provided. This training encompasses both campus-wide and area-specific training.

Yes. Training is an important aspect of the SHA position, as it offers an invaluable opportunity to learn the role, participate in professional development, and bond with those on your immediate and extended teams. As such, attending training is a requirement while employed as a Summer Housing Assistant.

  • Returning SHA: Was an SHA in Summer 2024 and/or 2025
  • New SHA: Has never been an SHA or was an SHA before Summer 2024. 

As part of their compensation, Summer Housing Assistants receive a full bed waiver and a meal plan stipend. The meal plan stipend will be $500.00 for SHAs in non-cooking spaces and $250.00 for SHAs in cooking spaces. The meal plan stipend will be distributed in multiple installments over the summer.

Some SHAs will also have the opportunity to work for additional hours at pay. These staff members will be paid $17.50 per hour for new SHAs and $17.75 for returning SHAs. Applicants will be asked to indicate their interest in working additional hours for pay within the application.

A successfully completed application includes: fully answered application questions, a current resume (if you have one) or a list of your more recent experiences, and the names and contact information for one professional reference. Returning applicants will not be required to submit a reference. 

When applying, new SHA applicants will be required to submit the name and email of one professional reference. References can be professional staff members, faculty members, former employers, advisors, etc. References should not be from parents/guardians, friends, etc. Prior to listing someone as a reference, you should speak to them and ask for permission to use them as a reference for your application. References should not be surprised when we contact them for information about your experiences with the SHA role.

Please note that we are not looking for a letter of recommendation from your reference. Rather, we will reach out directly to the references you provided and ask them to complete a recommendation form with standardized questions on your behalf. 

Returning applicants are not required to submit a reference. 

Successful applicants who are offered the role will receive their placement in their offer letter. Applicants cannot choose where they are placed. SHAs are selected by the selection committee based on the applicant's application, interview responses, and the population and team with whom they would work best.

The Summer Housing Assistant position is roughly a 3-month role, running from May 23 to August 20. The position starts prior to the end of the Spring semester and extends until the start of the Fall semester. SHAs will also be required to attend an introductory meeting in April as part of their training. It is important to note that campus housing does not close during break periods, so SHAs may be required to work any public holidays that fall within their employment period.
