Data Cookbook

Data Cookbook serves as Stony Brook’s centralized digital repository for managing the institutional data dictionary, report and dashboard profiles and both functional and technical definitions. Currently, there are over 700 definitions and it includes data definitions for academic, human resources, budget and financial data elements. Reference data provides data profiles on allowable values, data types and ranges. Reference data is added by the Enterprise Data & Analytics office. To enhance accessibility and usability, these definitions have begun to be integrated into Tableau and Power BI, allowing users to interact and reference within reporting and analytics environments.

Policy on Data and Data Access

In 2023, the Policy on Data and Data Access was delivered to promote accountability over data assets, responsibilities of data stewards and data custodians, and distinguishes procedures for different types of access. Data Trustees are executive leaders that oversee broad data domains and ultimate responsibility for the data assets in their purview. Data Stewards and Data Custodians are responsible for developing written procedures for how data access is granted for routine access and non-routine access, how permissions are given for special privileges, how data access requests are evaluated, (such as having a legitimate university business, or advancing mission), the re-release of data, and for how users are routinely removed and reviewed.
