HOW TO ORDER OFFICIAL TRANSCRIPTS

Students in the School of Medicine (631) 444-2341 must order transcripts through the School of Medicine.

Students in the School of Dental Medicine (631) 632-5468 must order transcripts by contacting the School of Dental Medicine. NOTE: Dental School students who attended *prior to 1988* should request their transcripts through the Registrar's Office as per the methods below.



Transcripts cannot be faxed, sent electronically or picked up.
Transcripts cannot be released if there is a financial hold on your account.
Transcripts provided directly to students are stamped "ISSUED TO STUDENT."

METHODS OF REQUEST:

ONLINE VIA THE SOLAR SYSTEM (RECOMMENDED)
Requests are mailed out within 3-5 business days.

Once you have logged into the SOLAR System
:
Select the "Student Records & Registration" menu group. 
Select "Request Official Transcript" link under Academic Records. 
Be sure to carefully read the Information For Students when you are placing your order. 

VIA MAIL OR FAX BY DOWNLOADING AN OFFICIAL TRANSCRIPT REQUEST FORM
Requests are mailed out within 5-10 business days of receipt of request.
Students may download a Transcript Request Form from our Forms page and submit it via mail or fax. 

IN PERSON AT THE REGISTRAR'S OFFICE
Transcript is generated while student waits. 
Students may request official transcripts at the Registrar's Office.
Same Day Service is available in person only.


TYPES OF TRANSCRIPTS:

Express Transcript Graduate - Complete graduate record. Express Service.
Express Transcript Undergraduate - Complete undergraduate record - Express Service.
Express Transcript Both (Ug/Gd) - Complete undergraduate and graduate record -Express Service.
Express Transcript HSC (Ug/Gd) - All Health Sciences Center students - Express Service.
Graduate - Complete graduate record - regular mail.
HSC Both (Ugrd & Grad) - All Health Sciences Center students - regular mail.
Undergraduate - Complete undergraduate record - regular mail.
Undergraduate & Graduate - Both - Complete undergraduate and graduate record - regular mail.

Note: All Health Science Center Students must choose an HSC transcript type when ordering on SOLAR.

DELIVERY OPTIONS, PROCESSING TIME & FEES: 

Regular Mailed Requests - $10.00 per transcript
Mailed out within 3-10 Business days depending on volume. Mailed via regular USPS mail.
There is no additional charge for internationally mailed transcripts. 

Express Service - $30.00 per transcript
EXPRESS TRANSCRIPTS CANNOT BE MAILED TO A STONY BROOK CAMPUS ADDRESS. 
Mailed out the following business day after request is received. 
Mailed via Overnight Delivery using UPS.  
If delivery address is a PO Box United States Postal Service (USPS) Express Mail is used.
International express mail is not guaranteed overnight delivery.
International express requests REQUIRE a working phone number for recipient.a

Same Day Service - $30.00 per transcript
This is available IN PERSON ONLY. Photo ID must be presented at the Registrar's Office. 
Transcript is generated while student waits.

PLEASE NOTE:   
Transcripts are not delivered on Saturday or Sunday.
International express mail is not guaranteed overnight delivery.
Choose "Express" Transcript Type to request Express Mail Service if ordering on SOLAR.
Once payment is processed, no changes to orders can be made.  Refunds will not be issued for delay of delivery due to inclement weather.

ATTACHMENTS: 
If ordering on SOLAR, attachments that should be mailed with transcripts can be sent to registrar_office@stonybrook.edu or faxed to (631) 632-9491 after order is placed.  Please include request number.


HOLD TRANSCRIPT FOR GRADES AND/OR DEGREE:

To have your transcript held for processing until all grades for the semester are submitted:
Answer "Yes" to Question #10 if ordering via Transcript Request Form
Select "Grade Posting" under processing options if ordering via SOLAR and choose semester

To have your transcript held for processing until your degree is posted:
Answer "Yes" to Question #11 if ordering via Transcript Request Form
Select "Degree Confer Date" under processing options if ordering via SOLAR and choose semester.
