Stony Brook University Employee Operator Responsibilities

Departmental and individual operators' responsibilities are as follows:

  • Each office is responsible for assuring that the driver is properly licensed and qualified according to the type of vehicle they are operating.
  • Each office is responsible for issuing and maintaining the fueling keys and assigning Employee ID numbers.
  • Each office is responsible to assure timely delivery of the vehicle for PMI and New York State Inspection.
  • Each office is responsible for monitoring vehicle usage, condition, cleanliness, abuse, etc..
  • The operator is responsible for checking and maintaining fluid levels, tire pressure, fuel quantity and to report anything unusual about the operation of the vehicle to the Automotive Repair Facility and their respective office.
  • The operator is responsible for reporting any accidents or damage to the vehicle to University Police, the Automotive Repair Facility and their respective office.
  • All vehicle repairs or modifications are to be coordinated through the Automotive Repair facility.
  • It is highly recommended that all vehicle purchases be coordinated though the Automotive Repair Facility. The professionals at the Automotive Repair Facility can assure that your purchase is applicable to the use intended and is obtained at the best available price.
  • It is highly recommended that each office assign a "vehicle coordinator" to monitor the vehicle needs of the department.
  • Should a Stony Brook department/office have any updates and/or changes to a vehicle fleet or account number, please fill out the Fleet Information Change Form and fax it to Transportation and Parking Services at (631) 632-4615.
