Registrar's Office
The Registrar's Office is located in Room 115 of the Natural Sciences Building.
The door is open from 8:30 a.m. to 4 p.m. Monday through Friday. These hours will change during the holidays, intercession, and during the summer terms. To check the hours, contact the office at (631) 632-5111.
The Registrar assists students with registration, obtaining enrollment certifications, requesting an address change, suppressing directory information, ordering a transcript, filing for graduation or filing an academic major/minor change.
The Registrar's Office collects final grades, maintains the permanent academic record (transcript) for each student, and certifies degree candidates' eligibility for graduation. We also manage SOLAR, the online registration system.
Course Enrollment via the Online SOLAR System
Stony Brook students will have access to online enrollment via the SOLAR System (Student On-Line Access to Records). Students can log in to the Southampton SOLAR System with their Stony Brook ID number and password.
Students can enroll in classes and drop or swap classes on the SOLAR System. Other registration related transactions that can be done via the SOLAR System include students placing themselves on a waitlist for a class and selecting the P/NC option for a class. Students can also confirm enrollment or course changes, view their schedule, receive a complete schedule summary (which includes times and locations) and run an unofficial transcript on the SOLAR System.
SOLAR System messages are frequently sent to student's SOLAR account by academic and administrative offices. Students are responsible for being aware of any information that is communicated to them via SOLAR messages. If the message link is red when students log into the Solar System, it indicates that there is a new message for the student.
Class Schedules
The schedule of Southampton classes is available online on the Stony Brook Southampton Web site and also on the Stony Brook University Registrar site, which lists West Campus courses and Southampton courses. Course lists include the days, times, locations, and instructors of each course offered. Students can also do a "Class Search" through SOLAR to view course offerings and to search for courses by subject area, course title, times, as well as other criteria. Course descriptions can also be found via SOLAR by clicking "Course Catalog."
Academic Calendar
The Academic Calendar is available online. It is the student's responsibility to be aware of all deadlines in the academic calendar and any repercussions that result if the deadlines are not adhered to by the student.
Official Transcripts
Official transcripts may be requested from your SOLAR page. They may also be requested in person at the cashier's window of the Bursar's Office or by mail. Send a letter including name, ID number, daytime phone number, your current address, and the correct address where the transcript is to be sent to: P.O. Box 619, Stony Brook, NY 11790-0619. Each transcript costs $5.00. Make check payable to: Stony Brook University. If you are paying by credit card, we accept MasterCard, American Express, Visa, or Discover. Fax your request to (631) 632-9318. Please sign your name on the request and include your credit card number and expiration date. You may also download a transcript request form in PDF format.
Please note: Processing time for transcripts is 7 to 10 business days but could take longer during peak times.
Access to Student Records
Directory information (i.e., name, date of birth, major, class, dates of attendance, degrees, etc.) is available to the public upon request through the Registrar's Office. Students who wish to have their directory information suppressed from public view must file a request at the Registrar's Office using the Request to Suppress/Release Directory Information Form.
Students' academic records are private and confidential according to the Family Educational Rights and Privacy Act (FERPA). If you wish to grant access of your academic records (grades) to your parent or guardian, you must submit a notarized FERPA form to the Registrar's Office.
Blank forms may be obtained by visiting the Registrar's office during regular operating hours. You may also access some forms online.
