Special Event Setup Requests
Requesting a Reservation from the Stony Brook Southampton CampusReservations requests are processed on a first-come, first-served basis. This Reservation Request (Fixit Ticket) form must be submitted no later than fifteen business days before the event. Submitting a reservation request is not a confirmation of a reservation. After checking the availability of your facilities request, you will be sent a confirmation via e-mail or in writing. It is your responsibility to check the terms and verify the accuracy of your confirmed request.
1. Go to the Stony Brook University FIXIT website.
2. Choose the Stony Brook Southampton category and 'Click here to proceed.'
3. Select 'Special Event setup requests.'
- For the LOCATION, search for the building you want; if you don’t see it then leave blank. The default Pin# is always 1.
- Provide all the requestor information and include a CC: to whoever you would like to send a copy to AND PLEASE SEND A COPY TO: catherine.pevera@stonybrook.edu in facilities at Southampton.
- Work type: please choose SPECIAL EVENT
- Please fill the appropriate requestor information and give a brief description. In the larger area please include date, furniture request, etc. When entering a request order always give the building and room number or location in the comments field as well as when it should be completed by, or any specific directions such as floor plan layouts, or how many chairs to a table. Always be as specific as possible.
- In the comments part of the request order ALWAYS put contact information with name and phone number for the person who can answer questions. (This is not necessarily the person entering the ticket.) We must be able to contact you if your requested space is not available. Leave account number blank.
- When entering separate dates, please use separate work orders. Example: August 27, 2007 setup for a meeting is one ticket. August 28 seminar is a second ticket. If the event is going to run for longer than one day, with identical set up needed each time, that may be noted on the first ticket, and then no further requests are needed.
- In the event that a request spans more than one day, the completion date for the event must be included. **Please remember setups for weekend events are done on Friday.**
- All work orders should have a copy sent to: catherine.pevera@stonybrook.edu
- If there are any changes in location, setup or anything in relation to the work order after it is completed, you MUST Email catherine.pevera@stonybrook.edu with all necessary information, so that the work order may be adjusted accordingly.
