MONTHLY AWARD SUMMARY (MAS) REPORTS


Previous notices informed you that paper MAS reports would no longer be provided after the distribution of the June 2002 reports. However, to provide Project Directors and their administrative staff the opportunity to explore all options during the transition to electronic reporting, paper MAS reports will continue to be mailed until the distribution of the December 2002 reports. Once the paper reports have been discontinued, the only ways for report recipients to access these electronic reports will be via Lotus Notes, or the Oracle System.

The Office of the Vice President for Research, in cooperation with DoIT, is establishing security access to a Lotus Notes MAS database for Project Directors and their designees with Lotus Notes accounts. Lotus Notes security for designees (the alternate report recipients) will be based on the Oracle security authorization forms provided by Project Directors for access to their Oracle awards.

Those members of your staff whom you have already designated with full Oracle security will be able to view your MAS reports via Lotus Notes without further authorization - provided such designees have Lotus Notes accounts.

If you wish to designate an additional or different alternate report recipient, or to obtain more information about this important transition send an email to Marie Bilbao mbilbao@notes.cc.sunysb.edu in the Office of Grants Management. When providing the name(s) of the alternate report recipient(s) you must also provide the appropriate award number(s). For the purpose of maintaining this database we are asking that you limit your selection to two (2) alternates. If a compelling need arises for more alternates, please let us know.

You will be notified as your, and your designee's, access to the Lotus Notes database of MAS reports is implemented during the next few months.

Please note that after the distribution of the December 2002 MAS reports, distribution of paper MAS's will be discontinued. Electronic access will be available through the new Lotus Notes mechanism or, as is currently possible, directly from the Oracle system.
