Important Reminders for State Employees


Stony Brook University Hospital, Schools of Medicine and Dental Medicine outpatient facilities, as well as the Long Island State Veterans Home, will maintain normal operations during the holiday period. Departments on West Campus, Health Sciences Schools, Stony Brook Southampton and Stony Brook Manhattan may choose to close on Friday, November 27, 2015, which is a holiday for UUP represented employees only, all others employees must charge the appropriate accrual. Employees should check with their supervisors for their department's holiday schedule.

Year End Holidays

The official holiday closings are: Christmas Day, Friday, December 25, 2015 and New Year's Day, Friday, January 1, 2016. Many offices may choose to operate with reduced staffing from Monday, December 28 through Thursday, December 31. Stony Brook University Hospital, Stony Brook Medicine Ambulatory Practices, as well as the Long Island State Veterans Home, will maintain normal operations.

Holiday Reassignments

For the Thanksgiving holiday many departments on the West Campus and in the Health Sciences Schools will choose to remain closed on Friday, November 27. For employees for whom this day is not a holiday and who wish to work, and not charge accruals, supervisors should contact Human Resource Services by e-mail at in order to arrange an alternative work assignment. All request must be submitted by email no later than November 23, 2015.

To facilitate a reassignment, supervisors should e-mail the following information to

Charging Accruals during Holiday Weeks

Please note that employees taking time off must secure approval from their supervisor and charge all absences except the official holidays, November 26, November 27 (for UUP represented employees only), December 25, 2015 and January 1, 2016 to the appropriate accruals.

Information will also be furnished to the following media outlets: WUSB 90.1 FM, WALK 97.5 FM, WBLI 106.1 FM, WBAB 102.3 FM, WKJY 98.3 FM, WRCN 103.9 FM, WINS 1010 AM, WHLI 1110 AM, and News 12 Long Island.

Because of delays in broadcasting weather emergency information, and the inability of media to provide comprehensive information specific to our employees, individual departments are urged to develop their own procedures for handling weather emergencies. These should include creating phone chains or having employees contact their supervisors for information.

In addition stay informed by registering for SB Alert. SB Alert is a comprehensive emergency notification system used to alert members of the campus community about major emergencies, immediate threats or impending situations that can pose harm to individuals, disrupt classes, or impact facilities, activities or other operations. When activated, the system can send a voice, an alphanumeric page, email and/or a text message to ALL of the devices that you enter in the SB Alert - Contact Information tab in SOLAR.

Finally, only the Governor can order State offices and facilities to be closed. When classes are cancelled, University offices are still open and employees are expected to report to work. If individual employees choose not to report to work because of weather conditions, they must call in and charge their absence to appropriate accruals with supervisory approval.

In the case of rapidly deteriorating weather conditions, which can occur during the work day, an employee who wishes to leave early must secure supervisory approval, and charge this time to appropriate accruals.
