PTC Deadlines:

September 15 is the deadline for receipt by the Dean’s office of all cases involving promotion to full professor.

May 15 is the deadline for receipt by the Dean’s office of all cases in which the final term appointment expires at the end of a fall semester.

January 15 is the deadline for receipt by the Dean’s office of all other cases. These deadlines reflect the time needed for files to be vetted by the Dean’s office, in accordance with section 2.5.8 of these guidelines, revised (as necessary) by the submitting department, and forwarded to the PTC.

Departments and Programs have the obligation to observe these deadlines. Only in the case of competitive offers will the Committee consider extensions of the deadlines. New appointments are not subject to the deadlines for internal cases.

Personnel Deadlines and What is Needed:

January 15:  Submission to Dean's Office PTC files involving mandatory consideration of promotion to Associate Professor for faculty on academic year appointments.   If you anticipate having problems meeting this deadline, kindly contact Pamela as soon as possible.  Please note that this deadline does not apply to files for new appointments at senior rank or to cases where a mandatory decision is due in December.  PTC guidelines are available at: http://www.stonybrook.edu/commcms/cas/personnel/faculty.html

February 15:  Submission to Dean's Office all reappointment files for tenure-track faculty on academic year appointments for the final 3-year term (also known as the "pre-tenure" file).  Please note that the biographic portion of these files must conform to the PTC format, with the exception that they should not contain the candidate's list of potential referees.  In addition to the biographic material, the file should contain the Chair's recommendation, faculty vote sheet, list of courses taught, and data summaries for all courses taught since last reappointment, a representative sampling of publications (or other appropriate material depending upon discipline), and at least one classroom teaching observation report. Please see January 15 deadline above for links.

February 15:  Submission by faculty of all sabbatical and leave requests for the upcoming academic year to Department Chair.  Please be sure that all sabbatical requests are on the correct form, and include a current CV.  CAS policy on sabbaticals is available at: http://www.stonybrook.edu/commcms/cas/personnel/faculty.html and includes a link to the Provost's Office webpage, which contains additional information on sabbatical policies, along with links to both PDF and Word versions of the current sabbatical request form.

March 1:  Submission of all sabbatical and other leave requests for the following academic year to Dean's Office.

  • Current CV

  • Chair’s recommendation including detailed assessment of scholarly record, teaching, and service

  • Statement from candidate about his/her teaching, research, and service

  • List of courses taught since initial appointment of last reappointment with enrollment

  • Teaching evaluations for all courses taught since initial appointment or last reappointment

  • For tenure-track:  identify any potential problems and what is being done to assist candidate to overcome these

  • Department sign-off sheet (only required for tenure-track faculty and multi-year non tenure-track faculty)

September 15:  Submission of files to Dean's Office for PTC cases involving promotion to Full Professor.
